Best Practice Recommendations for Issuing Receipts
Here at Keela, our best practice recommendation for receiving donations and issuing receipts is to set up a Keela Donation Form. A Keela Donation Form can be published on your website and used to collect online donations from a credit card or PayPal account. The best part? All donations that are received through a Keela Donation Form automatically have their receipts issued.
That's right! You don't have to do a thing! A donation receipt will be emailed to your donor straight away or at the end of the year in the form of a cumulative/total receipt (if they chose this option).
But of course, the Keela Donation Form is for online donations - what about those donations that are received via cash or cheque?
Of course, these are the exceptions! These will need to be manually logged in your Keela account by you or a team member and have a receipt issued straight from the Donor's profile. In this article, we will chat about how to issue a receipt to a Contact for multiple donations.
Important Note: A cumulative/total receipt can only be issued if the following conditions are met:
- All of the donations were made by a single Contact
- All of the donations were made in a single calendar year
- None of the donations have had a receipt produced for them already
Generate a Cumulative Donation Tax Receipt
You can generate a donation tax receipt for an individual quickly and easily.
If you are new to Keela or have recently imported donation data, you may not have issued tax receipts yet for your donations. Want to learn how to import donations? Check out our article on Importing your Historical Donations.
Open a Contact Profile
From "Contacts" in your left sidebar of Keela, select a contact from your contact list or a pinned contact and open up their profile. Click on the "Donations" tab under the Contacts title bar.
Generate a Cumulative Receipt
To manually generate a cumulative receipt, select the donations you want from that contact.
Click the "Edit Selected" button that appears next to the + Donation button and select "Create cumulative receipt".
Click "Confirm" to create a cumulative receipt.
This will generate a cumulative receipt and offer different options to save the file.
You can choose to save the file to your computer, upload a copy to Google Drive, or send the receipt by email.
Why can't I produce a Cumulative Receipt for a Contact?
The Keela system is set up to ensure that your receipt is done correctly and compliantly. One of the ways that it helps is automatically preventing you from creating a cumulative receipt that is not considered compliant.
If one or more of the donations that you have selected already has/have receipts connected to their records you will not be able to produce a cumulative receipt. This is because it is not compliant for a donation to have more than one valid receipts.
Note: The following error message will appear in the top-right hand corner of your screen if you attempt to do this in Keela: [You cannot create a cumulative receipt for donations with existing receipts]
