We know how important it is to be able to record and track donations made by your contacts over time. That's why we've made it easy to record and track donations for your Contacts.
With our Donations tool, you can records donations, process credit card payments and manage your receipts quickly and easily. This will keep your contacts' donation information organized and allow you to spend less time doing paperwork.
The Donations tool in Contacts is part of a larger tool within Keela that allows you to track, organize, and manage donations made to your organization. Find out how to get started with donations and make the most of all the donation features!
When you use Keela to record donations and manage receipts, you can keep track of your contacts' donation history. Having this information in one place helps you stay organized and can even provide valuable insight into your donor base, that will be helpful when approaching donors for fundraising efforts.
You can always find a record of donations made by a contact by clicking Contacts in the left sidebar, finding the contact you want, and selecting the Donations tab. Here, you will see a log of donations made including the following information:
- Donation Type
- Donation Amount
- Donation Date
- If a receipt was issued
How to Log a Donation
Keela makes it easy to log a donation with a few clicks.
1. Select a Contact
Click Contacts in the left sidebar and select the contact for whom you want to record a donation.
Open the Donations tab.
Click on "+ Donation" or "Log a donation" button to open the Log Donation screen.
2. Log Basic Donation Information
Complete the fields included on the Log Donation screen.
|Donation Type||What type of donation was received?|
|Payment Method||How did the donor pay?|
|Recurring||Is this an ongoing donation? If so, what is the schedule?|
|Full value of the donation||What was the dollar amount or value of the donation?|
|Date||When was the donation received? If recurring, what was the initial date of the recurring series?|
|Were any goods or services exchanged in return?||
Were there any Advantage/Benefits?
This section will only appear depending on your organization's legal status and your location.
What is an Advantage/Benefit?
Some jurisdictions require that you declare any advantages to the donor. For example, fundraising events such as luncheons, banquets or golf tournaments involve giving benefits to the donors. These benefits are know as advantages and must be taken into consideration when issuing a tax receipt.
If you add advantage/benefit details these will be included in the tax receipt, if generated in Keela.
3. Add Additional Details
To add details to your donation record and link it to other records, click on the "+Add impact area, pledge, campaign, sources, soft credit or notes" section to expand additional fields.
|Impact Area||If the contact made a donation towards an impact area, select or create an impact area from the Impact Area field. You can select one impact area per donation.|
|Link to Pledge||
If the contact made a donation towards a pledge, select the pledge from the drop-down list. You can select one pledge per donation.
Note: Recurring donation records are not able to be linked to Pledges at this time.
|Link to Campaign||If the contact made a donation in response to or in connection with a campaign, select or create a campaign from the 'Link to Campaign' field. You can select one campaign per donation.|
|Link to Sources||If the contact who made the donation came from a certain source (e.g. online via Keela, a corporation, from a fundraiser, etc.), you can select or create a source from the Link to Source field. You can select more than one source per donation.|
|Soft Credit||If the contact who made the donation contributed in response to the efforts or influence of someone else, you can soft credit the donation to that person to acknowledge the role of their support in driving that donation to your organization.|
|Note||You can enter any additional details about the donation in the Note field.|
4. Generate a Receipt & Pay and Generate (optional)
If you want to generate a donation receipt or process a credit card payment using Pay and Generate, you can do this now. Please refer to Generating a Tax Receipt for a Donation for detailed instructions.
Note that the Pay and Generate feature only works only for donations made in-app through Stripe.
4. Complete and Log Donation
Click the "Add" button at the bottom right of the screen. Now you're all set!
