We know how important it is to be able to record and track donations made by your contacts. That's why we've made it easy to record and track donations within your Contacts.
Our Donations tool lets you add records of donations and manage receipts quickly and easily. When you use this tool, you can keep your contacts' donation information organized and spend less time doing paperwork.
Your relationships with your supporters and donors are made up of numerous interactions over time. It can be difficult to keep track of the donations that an individual contact has made and your communication with that contact, and that's why we have made our Donations tool part of our Contacts feature.
When you use Donations to record donations and manage receipts, you can keep track of your contacts' donation history and use this information to guide you when approaching different donors to best target your fundraising efforts.
You can always find a record of donations made by a contact by clicking on Contacts in the left sidebar of your screen, finding the contact you want, and selecting the Donations tab under the Contacts title bar. Here, you will see a log of donations made and information on the type, amount, and date of donation, as well as whether a donation receipt has been issued.
Logging a Donation
Keela makes it as easy as possible to log a donation with a few clicks.
Add a New Donation
Click on Contacts in the left sidebar of your screen and select the contact for which you want to record a donation. Open the Donations tab under the Contacts title bar.
From the Donations tab of your contact, click on the "+ Donation" or "Log a donation" button to open the Log Donation screen.
Select a Donation Type
Select the type of donation that was made from the Donation type option menu.
Add a Payment Method
Indicate the payment method used to make the donation by using the Payment method option menu.
Specify the Donation Interval
Indicate whether or not the donation was recurring. If the donation was recurring, use the Recurring option menu to find the interval at which donations will be made.
Indicate the Donation Value
Write the value of the donation in the Full value of donation field and select the currency type from the Currency open menu.
Add a Donation Date
Input the date that the donation was made.
Add Advantage/Benefit Details
You can also input information about donation advantages. If there is an Advantage or Benefit for this donation, select "Yes" under "Were any goods or services exchanged in return (an advantage)?" to display and fill in additional fields.
Note: Whether this section appears will depend on your organization's legal status and where it is located.
Add Additional Details
To add additional details to your donation record and link it to other records, click on the "+Add impact area, pledge, campaign, sources, soft credit or notes" section to expand additional fields.
A) Impact Area
If the contact made a donation towards an impact area, select or create an impact area from the Impact Area field. You can select one impact area per donation.
B) Link to Pledge
If the contact made a donation towards a pledge, select the pledge from the drop-down list. You can select one pledge per donation.
Note: Recurring donation records are not able to be linked to Pledges at this time.
C) Link to Campaign
If the contact made a donation in response to or in connection with a campaign, select or create a campaign from the 'Link to Campaign' field. You can select one campaign per donation.
D) Link to Sources
If the contact who made the donation came from a certain source (e.g. online via Keela, a corporation, from a fundraiser, etc.), you can select or create a source from the Link to Source field. You can select more than one source per donation.
E) Soft Credit
If the contact who made the donation contributed in response to the efforts or influence of someone else, you can soft credit the donation to that person to acknowledge the role of their support in driving that donation to your organization.
You can enter any additional details about the donation in the Note field.
If you want to generate a donation receipt when you log a donation, you can do this now. Click the "+ Receipt" button at the bottom right of the Log Donation screen and select one of the receipting options.
You have three options for adding a receipt:
If you already have a donation receipt created elsewhere, you can upload it from your computer or from a URL.
If payment has been received, you can issue a receipt using the Receipt Generator and choose whether or not to email a copy to the contact.
C) Pay & Generate
If payment is being processed at the same time as the donation is logged, you can enter in the donation information and issue a receipt at the same time.
This option works only for donations made in-app through Stripe.
Complete and Log Donation
Click the "Add" button at the bottom right of the screen. Now you're all set!
