We know how important volunteers are, and we want you to be able to manage your volunteers and recognize their contribution. That's why we've made it easy to record and track volunteer tasks and hours within your Contacts.
Our Volunteering tool lets you add and manage volunteer records for a contact quickly and easily. When you use this tool, you can keep your volunteer records up to date and find out how volunteers are contributing to your organization.
Your volunteers play a valuable role in your organization, and we know how important it is to be able to acknowledge their contributions. It can be difficult to keep track of which contacts did what, and that's why we integrated our Volunteering tool into our Contacts feature.
When you use Volunteering to record volunteer time, you can organize and manage your volunteer records quickly and easily.
You can always find the volunteer records for a contact by clicking on Contacts in the left sidebar of your screen, finding the contact you want, and selecting the Volunteering tab under the Contacts title bar. Here, you will see a record of volunteer hours and tasks, as well as the activity, target area, campaign, and source for that time.
A volunteer record is made up of the following parts:
Start and End Dates
These are the dates for when a contact began and finished a volunteer activity.
This is the duration for which a contact volunteered time towards an activity.
This is a description of what the contact did for their volunteer activity.
Volunteer Impact Area
Contacts may volunteer their time towards a particular program, project, or area of your organization and its activities. You can select one existing target area or create a new one.
This field is optional but can be helpful in tracking what activities and operational areas volunteers are putting hours against.
Contacts may volunteer their time in connection with a fundraising or other campaign. You can select one campaign or create a new one.
If the contact who volunteered came from a certain source (e.g. a corporation a school, through a referral), you can select or create one or more sources.
You can attach files to the record of volunteer activity, and both the volunteer record and attachment will stay linked to your contact.
Logging a Volunteer Activity
Keela makes it as easy to log a volunteer activity for a contact with a few clicks.
Create a Reminder
Click on Contacts in the left sidebar of your screen and select the contact for which you want to log a volunteer activity. Open the Volunteering tab under the Contacts title bar.
From the Volunteering tab of your contact, click on the "+ Volunteer Activity" or "Log volunteer activity" button to open the New Volunteer Activity screen.
Add a Start and End Date
Specify the dates when the contact started and ended their volunteer activity in the Start Date and End Date fields.
Set Hours Volunteered
Input the number of hours the contact volunteered for a specific activity in the Hours field.
Describe the Activity
Write a description of the volunteer activity that the contact performed.
Add Additional Information
You can also input information about the volunteer target area, campaign, and source.
A) Impact area
If the contact volunteered time towards an impact area, select or create an impact area from the Impact Area field. You can select one impact area per volunteer activity.
B) Associated Campaign
If the contact volunteered time in response to or in connection with a campaign, select or create a campaign from the Associated Campaign field. You can select one campaign per volunteer activity.
C) Volunteer Source
If the contact who volunteered time came from a certain source, you can select or create a source from the Volunteer Source field. You can select more than one source per volunteer activity.
If you have files that are relevant to the volunteer activity, you can click the "Attachments" button to attach them.
Complete and Log a New Volunteer Activity
Click the "Add" button at the bottom right of the screen. Now you're all done!
