We know how important it is to keep in touch with your supporters, donors, members, and other contacts. That's why we've made it easy to record and manage follow-up tasks for individual people within your Contacts.
Our Follow-ups tool lets you add and manage reminders for a contact quickly and easily. When you use this tool, you can stay organized and keep track of what you need to do.
Your contacts play an important role in your organization, and we know that your time and theirs is valuable. It can be difficult to keep track of what you need to do when, and that's why we integrated our Follow-ups tool into our Contacts feature.
When you use Follow-ups to organize and track your tasks, you can manage your to do list for each contact quickly and easily.
You can always find your follow-ups for a contact by clicking on Contacts in the left sidebar of your screen, finding the contact you want, and selecting the Follow-ups tab under the Contacts title bar. Here, you will see a record of upcoming and late follow-up tasks, as well as options to add new reminders and filter follow-ups based on status.
The reminders listed on this tab will also appear in the Follow-ups widget on your Dashboard to help you keep up to date on what you need to do.
A Follow-up reminder is made up of the following parts:
This is a description of what your follow-up is about.
This is what you need to do for your follow-up to complete it.
This is the date and time that your follow-up needs to be done. This is optional, but is recommended, to allow for better planning and organization.
This is the time before your deadline when you want to receive a reminder of your follow-up.
You can assign someone on your team to the follow-up. This is the person who will be responsible for the follow-up reminder on a contact.
You can attach files to the follow-up, and both the follow-up and attachment will stay linked to your contact.
Adding a Follow-up Reminder
Keela makes it as easy to set up a follow-up reminder for a contact with a few clicks.
Create a reminder
Click on Contacts in the left sidebar of your screen and select the contact for which you want to add a follow-up. Open the Follow-ups tab under the Contacts title bar.
From the Follow-ups tab of your contact, click on the "+ Reminder" or "Create a Reminder" button to open the New Reminder screen.
Add a Subject
Input a description of your follow-up with the contact in the Subject field. This is what the follow-up will remind you to do.
Describe your Reminder
Write a description of what you need to do to complete the follow-up in the Details field.
Set a Deadline
Set a date and time for when you need to complete the follow-up in the Date and Time fields.
Add a Notification Reminder
Indicate how long before the deadline you want to receive a reminder. You can use the Notification field and select one of the options from the drop-down option list.
Add an Assignee
You can assign a team member to the follow-up for the contact. Start searching for a name in the Assignee field or use the drop-down list to select someone.
If you have files that are relevant to the follow-up reminder, you can click the "Attachments" button to attach them.
Complete and Add a New Interaction
Click the "Add" button at the bottom right of the screen. Now you're all done!
