We know how important it is to be able to send and track your email interactions with contacts. That's why we've made it easy to record and organize emails within your Contacts.
Our Emails tool lets you send and record emails to your contacts and set follow-ups from inside Keela. When you use this tool, you can keep your emails organized and better communicate with your contacts.
Your relationships with your supporters, donors, and other contacts are made up of numerous interactions over time. It can be difficult sometimes to keep all those different streams of communication organized, and that's why we created the Emails tool.
When you use Emails to send your emails, you can keep track of those conversations, follow up at the right time, and build the relationships that you want.
You can always find your emails by clicking on Contacts in the left sidebar of your screen, finding the contact you want, and selecting the Emails tab under the Contacts title bar. Here, you will see a record of your emails with an individual contact and find options to send new emails.
While our email tool is almost identical to how your existing email works, sending email from Keela has the advantage of letting you set a follow-up at the same time and keeping your record of communication and contact profile all in one place.
Each email is made up of the following parts:
This is a description of why you are writing.
This is the message that you want to send to your contact.
If you need to follow up on your email, you can check the "Add follow-up?" box and enter in the deadline, or date and time of follow up, and set a notification for when you would like to be reminded.
You can also select an Assignee, the person who will be responsible for following up.
This is the contact and other information that will appear in your signature. You can customize your signature to show specific information.
Do you need to send a document as part of your email? You can attach files to the email, and both the email and attachment will stay linked to your contact.
Sending an Email
Keela makes it as easy as possible to send an email with only a few clicks.
Create a New Email
Click on Contacts in the left sidebar of your screen and select the contact you want to email from the contact list. Open the Emails tab under the Contacts title bar.
From the Emails tab of your contact, click on the "Email" or "Send an email" button.
Add a Subject
Input the subject of your email in the Subject field.
Write your message and format your text in the Compose Message field.
To add a follow-up, check the "Add follow-up" box and select a date and time for follow up, set up a notification, and if there is one, add an assignee.
This is optional; if you don't need to follow-up, leave the "Add follow-up" checkbox unmarked. Any follow-ups that you create here will appear in the Follow-ups widget on your Dashboard.
If you have files that you need to add to the email, you can click the "Attachments" button to attach them.
Complete and Send an Email
Click the "Send" button at the bottom right of the screen. Now you're all set!
