We know that a project involves many steps along the way, so we've made it easy to break down your project into easily manageable tasks.
Our Tasks tool lets you create and manage project tasks, set deadlines and priority levels, and assign team members and followers to each task that you create. When you use these tools, you can stay organized through every step of your project and never miss a step again!
Like all projects, whatever you're working on is probably made up of a number of individual and related tasks. When you create project tasks, you can break up your project into manageable pieces, coordinate with other people, and ensure that your workflow moves along smoothly.
Each task is made up of the following parts:
This is your reference for whatever action you need to take. Contact someone, submit paperwork, or send documents. (We suggest you keep it simple, though.)
This covers whatever you need to do to complete your task action. Who are your contacting? What are you submitting? Are there steps that you have to take to complete the task? This is a great place to put all of that down.
The Assignee is whomever will be responsible for completing the task. You can assign one person to each task that you create.
If your task need to be completed by a certain date and time, you can record it in your task.
Your deadlines will also determine what priority tasks appear in the Task widget on your Dashboard.
Have someone who needs to follow the progress of a task or contribute discussion or files? Followers may not be working directly on the task, but they can monitor the work, contribute to the task discussion, and share files. Stay updated on the progress of the task!
Creating a Task
Keela makes it as easy as possible to create a new Project Task with only a few clicks, and there are a couple of different ways that you can create a new Task.
A) Click on the 'Quick Action' button at the top right side of your screen and select "Task". Select an existing project or create a new one to fill in later.
B) Click on 'Projects' to view your project list and select the one that you want to add a task to. Click the '+ Task' button to create a new Task.
Both of these options will prompt you to fill in your task information.
Name and Describe your Task
Type in a task name. We suggest something concise and relevant. Add details about the task in the Description field.
Choose an Assignee
Designate the person responsible for completing the task. By default, when you create a new task, you are set as the 'Assignee', but you can select other people from the drop-down list.
Select a Deadline
Select a date and time for your task deadline. This is optional - if you don't have a deadline for your task, leave this section blank.
Add Task Followers
Select people who will be contributing to and collaborating on the task. These people will be able to follow the task and participate on the discussion thread.
By default, when you create a new task, you are added as a Follower, but you can unsubscribe now or later if you don't want to receive notifications or updates on the task.
Click the 'Add' button in the bottom right of the screen. Now you're all set!
Using Task Comments
There are many ways that you can use tasks to manage your project and get things done -- but sometimes, you might need feedback from someone working directly or indirectly on the task. We've made it easy and simple to leave comments on project tasks so that you can always keep all that information together!
After you make a task, you can select it from the Tasks tab of your project at any time. You can leave a comment on a task as long as you are either an Assignee or a Follower.
Select the Task
From the Projects list, select the project you are working on. When you click on a project, it will open up the project and automatically move to the project Tasks tab and display a list of tasks for that project. Select the task you want to comment on.
Add a Comment to a Task
When you open a task, the screen will display information on the task's assignee, deadline, status, followers, and description. If there are any existing comments, there will be a "Comments" heading below this section; otherwise, no header will appear.
Underneath this section is where the comment field is located, inviting you to "Write a message". You can also add attachments and change the way messages are sent using the toggle beside the "Send" button.
Any files that you attach to your task comment will appear on the 'Task' page, as well as on the 'Files' page of your project.
To comment on a task, write your message in the comment field. When you press "Send", it will create a "Comments" section in the task and show your message underneath.
